Settlements and reimbursements

Explain the balance before recording the repayment

The person responsible for a shared cost is not always the person who paid it. Billum keeps allocations, personal funding of shared costs and later repayments distinct so a household can understand the monthly position.

The pieces behind the final position

Member responsibility

See the share allocated to each participating member under the household’s selected split method.

Who funded the cost

Credit personal payments that covered shared costs instead of assuming every household expense came from a shared pot.

Recorded settlements

Add the transfer or reimbursement that reduces an outstanding monthly balance after money actually moves.

Close the loop without double-counting

1

Review the shared costs

Confirm that bills, expenses and allocations for the month are complete enough to explain the balance.

2

Account for funding

Identify which member or shared account paid each cost before deciding who should reimburse whom.

3

Record the real transfer

Add the settlement to the applicable month when the repayment has happened.

Synthetic example

Example: one member pays a shared repair

One member personally pays a synthetic 1,200 kr shared repair. The household allocation says each of two members is responsible for half.

Billum credits the payer’s funding and shows the other member’s position. A later 600 kr transfer is recorded as a settlement, not another cost.

Common questions

Can Billum send the repayment?

No. Members move money through their chosen payment method and record the completed settlement in Billum.

Is a reimbursement household income?

Not when it repays an existing cost. It should remain connected to the original expense and reduce the outstanding position.
